A: Effective management of company month end: Review and authorise all RMX Trade Creditors reconciliations by 20th of every month Ensure that payment on recon balances to month end run or payment by 25th of every month Ensuring all queries are dealt with effectively before purchase ledger closes on the 4th of every month Pass monthly journals and ensure month end deadlines are met. Ensure that the fixed asset register is maintained on a monthly basis Support RMX plant managers on all accounting queries. B: Effective Month end administration & Reconciliation of accounts: Reconcile balance sheet accounts to be completed by the 13th, highlighting possible errors to Accounting Supervisor/Financial Manager and have recon signed off before putting in recon file/s. Review provisional set of management accounts prepared for processing errors, large variances to budget and illogical results and correct. Respond to all queries from Operational Managers and Directors timeously. Ensuring all intercompany transactions has been accounted for and the loan accounts balance. Ensuring all monthly reports are completed for submission by 15th working day. Ensure the cost reports are completed by on the 15th working day. C: Processing of EFT’s & Cheque Payments: Load EFT payments daily as password holder on inspection of source documents and agreeing the customer/suppliers bank account details. D: Aftersales Monthly Reconciliations: Ensure that all stock reports have been completed by 10th in liaison with stock controller Ensure that all bank recons have been completed and reviewed/signed off. E: General duties and responsibilities: Assist financial managers where necessary. Coach and assist all staff when they require assistance. Perform stand in duties for staff sick or on leave as directed by senior accountant. Maintain the company’s system of accounts and keep records on all company transactions, assets and liabilities. Assist in the preparation of budgets and forecasts, and financial reports for management, shareholders and lenders. Audit expenditure to ensure compliance with purchasing/accounting procedures. Ensure that all accounts are reconciled. Pass Adjusting and correcting opening and closing entries. Carry out audit checks for regular or special disbursements. Prepare various monthly, quarterly and annual reports including income statements, balance sheets, transactions and inventory. Maintain a complete set of budgetary control and general accounts. Ensure compliance with all statutory regulations including but not limited to PAYE, UIF, RSC, COID ACT and VAT. Prepare and submit monthly vat returns for RMX company, for final sign off by Financial manager Correspond in writing to outside agencies and third parties concerning requests for information, procedures financial information etc. Assist in the preparation of information for board packs and other ad hoc financial reporting information. Deal with general income tax, VAT and WCC queries as and when required Support and assistance to the FM and fellow finance staff in the day to day operations of the business. Recommend policies and procedures and improvements to internal controls.
